Why am I not receiving replies/expected emails from PayDataUSA?

We try our best to respond within 2 hours. If you aren’t receiving anything from us, first, please confirm with your IT department that PayDataUSA has been marked as a safe contact (“never block sender’s domain”). If you’ve done this and you aren’t seeing our emails in your Junk/Spam folder either, please give our office a call at 859-277-7401.

Can you process multi-state payrolls?

Yes, we are an independently-owned, yet nationally-capable, payroll service.

Can I lease your payroll software?

Yes! PayDataUSA will provide your business with an excellent engine to drive your payroll, time and attendance, HR, and much more while providing all the support your staff needs to stay in compliance.

If I process my own payroll, what should I do if I can’t be in the office when payroll is due?

Notify PayDataUSA, provide us with the information via phone, email, or mobile device and let us be your backup system

How quickly can you process my payroll?

The majority of PayDataUSA’s clients receive finalized reports within 3 hours of submission. Use our PlatinumPay Xpress utility and receive figures instantly!

How do I send you my payroll information?

PayDataUSA offers a wide range of solutions for reporting your payroll information. These methods range from emailing in a time sheet to sending us your hours from your mobile device! We let you choose what works best for your busy schedule.

Can I access my reports online?

Yes. Even with the most basic package of services, you will always have full access through our web portal to all of your payroll reports.

My company keeps handwritten time sheets. Can you help us use technology to make the process easier?

Yes. PayTime is a fully-integrated time and attendance software that will significantly save you time and money while making the process of submitting your payroll easier than you would have ever thought possible.

I’d like to pay my employees with direct deposit, but they don’t all have bank accounts. Can you help?

Yes, by using our electronic paycheck option for employees that do not have a bank account.

Will you file the payroll tax returns?

Yes. PayDataUSA’s Total Tax option allows you to be stress-free of meeting payment and return deadlines. We make all federal, state, and local tax deposits and file returns when due, taking 100% liability of accuracy and timely filing.

For Employees

Can you send me my paystubs?

PayDataUSA cannot send any paystub documentation or information directly to employees. You do, however, have the ability to access them yourself when you sign onto HUB.

Can I view my paystubs online?

Yes, you have the ability to access your paystubs and other forms when you sign onto HUB.

How do I reset my HUB access code/password?

Wait about 15 minutes and the system will reset itself allowing you to try again. You may be prompted to provide a temporary passcode sent to your mobile to complete the process.

Can you send me my W-2/W-4?

PayDataUSA cannot send any documentation or information directly to employees. Speak with your employer as to what you need and they can make a request on your behalf.

How should I claim on my W-4?

Unfortunately, PayDataUSA cannot recommend how you should claim on your W-4.

Why is my direct deposit missing?

First, make your supervisor aware and confirm that they have your up-to-date account information. If there is still an issue, your supervisor must reach out to us so that we may work with them to resolve the issue.

What is a rapid! PayCard Visa Card and where can I use it?

It is a prepaid card that does not require a credit check; therefore, only an identity check is needed and most people qualify. It allows you to collect and spend your pay without hassle or inconvenience. Your rapid! PayCard can be used at millions of ATMs and merchant locations worldwide, wherever Visa debit cards are accepted.

When will my payroll funds be available on my rapid! PayCard?

Your pay will typically be available by 10:00am EST in the morning on your payday.

How do I check the balance on my rapid! PayCard?

You can call Customer Service at 1.888.727.4314 or visit www.rapidfs.com for more info. Additionally, by signing up for FREE text alerts, you’ll be notified when money is loaded onto the card, you can request a balance update, and choose from other alert options.

What happens if I lose my rapid! PayCard? What should I do?

Most importantly, your money is protected with Visa Zero Fraud Liability. Just call 1.888.7274314 to report it lost/stolen and request a new card, or ask your employer for a new card. Note that replacement cards are subject to a $10 fee per replacement card.

Can I add additional funds to my rapid! PayCard?

Yes, it’s fully portable, meaning you can take the card to any other employer (second or part-time job), regardless of who gave the card to you. In addition, you can direct deposit your income tax refund, social security benefit, military pension, or any other payment that can be direct deposited.
